Team Assistant / Office Management (30h)

SQUER is looking for a highly organized and motivated Team Assistant / Office Management (30h). You'll be responsible for ensuring the smooth operation of our office, managing administrative tasks, supporting staff, and contributing to a positive work environment. This role requires a dynamic individual with excellent communication skills, a keen eye for detail, and the ability to multitask in a fast-paced setting.

Your Tasks

  • Office Operations:
    • Oversee daily office operations to ensure efficiency and productivity.
    • Maintain office supplies inventory by checking stock and ordering items as needed as well as preparing our weekly office breakfast.
    • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
    • Ensure the office layout is functional and well-maintained. 
  • Administrative Support:
    • Provide administrative support to the executive team and other staff as needed.
    • Schedule meetings, appointments, and manage calendars.
    • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
    • Prepare reports, presentations, and other documents as required.
  • Human Resources:
    • Assist with onboarding new employees, including preparing workstations and conducting office tours.
    • Assist by coordinating staff events and activities.

Your Qualifications

  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills in English and German. 
  • Proficiency in MS Office (MS Word, Excel, PowerPoint) and affinity for technology
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving skills and attention to detail.
  • Independent working style, reliability and accuracy
  • Professional, friendly and obliging behavior
  • Drivers license is a plus

  • Fair annual salary of at least € 29,500 on a full-time basis - overpayment according to qualifications and experience is a matter of course.
