- Office Operations:
- Oversee daily office operations to ensure efficiency and productivity.
- Maintain office supplies inventory by checking stock and ordering items as needed as well as preparing our weekly office breakfast.
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
- Ensure the office layout is functional and well-maintained.
- Administrative Support:
- Provide administrative support to the executive team and other staff as needed.
- Schedule meetings, appointments, and manage calendars.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Prepare reports, presentations, and other documents as required.
- Human Resources:
- Assist with onboarding new employees, including preparing workstations and conducting office tours.
- Assist by coordinating staff events and activities.

You'll be responsible for ensuring the smooth operation of our office, managing administrative tasks, supporting staff, and contributing to a positive work environment. This role requires a dynamic individual with excellent communication skills, a keen eye for detail, and the ability to multitask in a fast-paced setting.

- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills in English and German.
- Proficiency in MS Office (MS Word, Excel, PowerPoint) and affinity for technology
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving skills and attention to detail.
- Independent working style, reliability and accuracy
- Professional, friendly and obliging behavior
- Drivers license is a plus
